Subject: GDPR Privacy Statement for Customer and Supplier Records
Dear Client,
Collection and Use of Personal Data from Customers, Suppliers, and Other Contractors
We would like to inform you that we will collect and use the personal data you provide to us because this is necessary to enter into and fulfill any agreement with you. This applies to both our (potential) customers and to parties from whom we purchase goods and/or services.
If you are a (potential) customer of ours, we will use your data to send you a quote, to determine the specifications or requirements that a particular product or service must meet, to deliver goods or perform work for you, to issue invoices, and to communicate with you smoothly and efficiently regarding the implementation of the agreement.
If you are a (potential) supplier or other contractor, your personal data is also necessary for the conclusion and performance of the agreement. In the context of procurement, this is necessary to inform you of the specifications or requirements that a particular good or service must meet from our perspective, to send you a request for a quote or place an order with you, to pay your invoices, and to communicate with you smoothly and efficiently regarding other aspects of the agreement.
You are not required to provide us with your personal data. However, if you do not provide us with any personal data or provide insufficient personal data, we may not be able to carry out the activities mentioned above.
Disclosure to Third Parties
In connection with the performance of any agreement with you, we may need to disclose your personal data to parties that supply us with parts, materials, and products or perform work on our behalf. We also use external server space to store (parts of) our sales and purchasing records, which include your personal data. For this reason, your personal data is provided to our server space provider. We also use Microsoft Office and its associated storage capabilities for emails and other files. Finally, because we use a newsletter mailing service, your personal data is transferred to the provider of this service.
Direct Marketing
If you have given us your consent to do so, we will retain and use the personal data you have provided to personally notify you via email in the future about our existing and new products and services and, if applicable, to make you an offer. Every time we send you a promotional email, you have the option to let us know that you no longer wish to receive such communications. Please see the unsubscribe link at the bottom of each email.
Retention Period for Personal Data
If you have requested a quote from us but have not become a customer, we will delete your data no later than one year after our last contact. Similarly, if we have received a quote from you but have not become your customer, your personal data will be deleted no later than one year after our last contact. If you have become a customer of ours—or we have become a customer of yours—we will retain your personal data for a period of seven years following the end of the fiscal year in which the agreement with you was fully executed. The seven-year period corresponds to the period during which we are required to retain our records for the tax authorities. At the end of this period, we will delete your personal data.
Your Rights
You have the right to request access to your personal data. If there is a valid reason, you may also request that we supplement your personal data or correct any inaccuracies. In addition, you have the right to request the erasure of your personal data or to restrict the use of your personal data. You may also object to our collection and use of your data or file a complaint with the Dutch Data Protection Authority. Finally, you may request that we provide you with your personal data or transfer that data to another party. To exercise your rights, please contact the undersigned.
